Personal Assistant

Job Description:

International entrepreneur and (co-)owner of several small companies is looking for a personal assistant full-time with flexible working hours.

Current businesses include gym, real estate, software and web development, and e-commerce. There is no requirement to have prior experience in these fields, but some knowledge is helpful.

Primary Responsibilities

- Virtual Assistance in all matters regarding business and leisure: carrying out administrative duties to free up time for the entrepreneur to focus on the strategy aspects of all businesses; acting as main point of contact for employees, clients and external partners;

- Basic accounting and invoicing duties, including expense reporting, keeping track of financial records and turnover

- Process documentation: documenting and improving existing processes and supporting the development of new processes to simplify internal structures to improve overall collaboration (including outsourcing)

- Digital project management: provide ideation, conception, briefing and administrative tasks for digital projects; making sure project stay within agreed time and budget

- Office management: schedule and organise meetings; keep track of tasks and follow up on calls and meetings; organise office operations and filing system

Secondary Responsibilities (can be outsourced, but will need to be managed by the candidate)

- marketing (including digital and event organisation)

- social media monitoring and response to customer/employee feedback

Must-have Skills

- self-starter - someone who understands the requirements of all responsibilities and either carries them out directly or outsources tasks

- very strong organisational skills - fast-paced environment with many projects running at the same time

- multiple languages - English and German are a must, Spanish or other languages are nice to have

- creativity and solution oriented focus

Nice-to-have Skills

- other languages than English, German and Spanish

- experience in digital and web project management
