Wordpress Site for private coaching

Hello, I am running a weight loss coaching program and would like to build a client management site using WordPress.
I already have something which I am currently using. The front end-user experience is excellent, but the back end stuff is really annoying - there are too many steps I need to do, which takes about 30 - 45 minutes just to add 1 client.
At the moment, my back end steps are...
1. I have to create a new user (which also forces me to create a new category)
2. Duplicate some pages and edit it to their specific information (this I understand there is no way around it).
3. Change who can see view these new pages.
4. Add these pages into the menu navigation manually and restrict that only 1 specific user can see it.
As you can see, if it is very tedious.
Ideally, I would like to be able just to duplicate a page, edit it to specific information, and select which user can access it. And the menu navigation should get updated automatically.
Also, the navigation menu pages, only the user's pages, should be shown.
